Buying in Volume: A Worked Example of When It Pays

Buying in Volume: A Worked Example of When It Pays

Bulk discounts are real and so are the costs of holding material. A calculation that finds the balance.

Suppliers offer better prices for volume, and contractors take them without calculating the cost of holding material that will not be used for months. The discount is real; so is the storage, the damage and the cash tied up.

The situation

A contractor can buy the full project requirement of a material at a discount or order it in three stages at standard pricing.

Assumptions (illustrative)

  • Total requirement: 900 units.
  • Standard price: SAR 85 per unit.
  • Bulk price for the full quantity: SAR 76 per unit.
  • Assumed storage cost including handling and protection: SAR 3,000 over the holding period.
  • Assumed damage and loss on long-stored material: 3 per cent.
  • Holding period for the bulk purchase: 5 months before the last of it is used.
  • All figures are illustrative assumptions used to demonstrate the method.

Step 1: Cost at standard pricing

900 units at SAR 85 equals SAR 76,500.

Ordered in stages, with material arriving close to when it is needed.

Step 2: Cost at bulk pricing

900 units at SAR 76 equals SAR 68,400, a saving of SAR 8,100.

The headline saving, which is what usually drives the decision.

Step 3: Adding storage cost

SAR 68,400 plus SAR 3,000 equals SAR 71,400.

Storage is a real cost even where space appears free, since it requires protection and handling.

Step 4: Adding damage and loss

3 per cent of 900 units is 27 units, worth about SAR 2,052 at bulk price.

Material stored for months on an active site sustains damage, and the rate rises with holding time.

Step 5: Adjusted bulk cost

SAR 71,400 plus SAR 2,052 equals SAR 73,452.

The saving reduces from SAR 8,100 to about SAR 3,050 once the real costs are included.

Step 6: The cash consideration

Bulk purchase commits SAR 68,400 immediately rather than spreading it across five months.

On a project where cash flow is constrained, committing funds early has a cost that this calculation does not capture.

What changes the answer

  • Materials that store well with minimal damage risk favour bulk purchase strongly.
  • Fragile or weather sensitive materials favour staged delivery.
  • Price volatility in the material can justify buying early regardless of the discount.
  • Limited site storage can make bulk purchase impractical regardless of the arithmetic.

What the numbers tell you

  • Include storage and damage in the bulk comparison rather than comparing unit prices.
  • Consider whether the material stores well before committing to volume.
  • Weigh the cash flow effect, particularly on projects where funding is staged.
  • Negotiate volume pricing with staged delivery, which frequently captures most of the discount without the holding cost.

Limits of this example

Every figure above is an illustrative assumption used to show the method, not a quote, valuation or market rate. Costs, rates, fees and regulations change and must be confirmed with the relevant authority, lender or supplier before you commit.

Frequently Asked Questions

Can I get bulk pricing without taking bulk delivery?

Frequently yes, by committing to the total quantity with deliveries called off against the programme. This is the most efficient arrangement available and suppliers are often willing, since the commitment is what matters to them.

Which materials are worth buying in bulk?

Those that store well without deterioration and are used throughout the project, such as blockwork and reinforcement. Finishing materials, which are delicate and needed late, are generally better ordered close to installation.

How much material damage should be expected in storage?

It varies with the material and the storage arrangements, and it rises with holding time. The practical approach is to reduce it through proper storage rather than to budget for it, since well-stored material sustains very little damage.
